Office Manager
 

Choice Family Health Care, a non-profit healthcare clinic, is looking for an experienced Office Manager to oversee the front office operations of our clinic in Grand Island, Nebraska.

Duties & Responsibilities:

  • Monitor and supervise the day-to-day operations of the front office ensuring efficient and effective flow
  • Oversees and monitors workload and work assignments for staff
  • Establishes systems for professional front office operations
  • Oversee patient billing and collections process
  • Works effectively with outside billing, finance and other agencies
  • Reviews, updates and writes related policies and procedures
  • Assists in data collection and reporting for various grants
  • Monitors and maintains an inventory system
  • Manages the phone system for the location
  • Will maintain a clean, organized, professional and patient friendly front office environment
  • May assist in exam rooms during clinic including preparation and cleaning
  • Orients and trains staff members. Ensures high-level performance from staff.
  • Maintains a strong working relationship with other clinic locations; implements system wide processes
  • Manage the EMR system
  • Administers medications and injections to patients
  • Performs patient intake and document in patient medical record
  • Provides information and education on the various family planning methods to clients
  • Dispense contraceptive refills for patients per set protocols of licensed provider
  • Maintains patient medical records and handles correspondence, phone inquiries, and minor patient           problems
  • Will travel and assist and fill in at other clinic locations as needed as directed by Executive Director
  • Performs other duties as assigned by the Executive Director
  • Will perform patient income verification per household income and federal poverty guidelines
  • Will oversee the balancing of funds to close out the day’s business
  • Maintains effective communication with clinic assistants and encourages team work in addressing      challenges/problems
  • Assist in monitoring Title X and other program compliance requirements
  • Ensures clinic assistants maintain required registrations/certifications
  • Keeps informed of current developments in reproductive health care
  • Attends and participates in meetings and continuing education trainings as directed by the Executive         Director
  • Maintains a collaborative consultative role and supportive problem-solving role with the Executive             Director
  • Has the ability to take feedback and implement needed changes from the Executive Director
  • Will fill in for Clinic Assistant role when needed
  • Performs other duties as assigned by the Executive Director

Skills & Ability to:

Competent in Microsoft Office software

Demonstrate knowledge and competency in supervisory practices; effectively leads others

Demonstrate and role model professionalism to staff

Communicate clearly and concisely, both orally and in writing

Answer telephone calls in a pleasant manner and handle patient calls appropriately, i.e. scheduling of appointments, providing information per protocols, and general screening and routing of calls, etc.

Operate a variety of modern office equipment, including a computer and necessary software and programs

Maintain confidentiality of all patient information, including health and financial, and personnel information

Learn, interpret and apply Federal, State, local and agency policies, procedures, laws and regulations

Establish and maintain effective working relationships with all throughout the course of work

Work with a wide variety of individuals from various social and economic backgrounds and lifestyles

Convey a non-judgmental tone about patient’s decisions regardless of personal beliefs

Demonstrate competency as a registered medication aide in Nebraska

Demonstrate competency for pharmacy training and dispensing in accordance with Nebraska pharmacy regulations

Provide comprehensive referrals by understanding community resources

Understand basic accounting and mathematical principles

Work with minimal supervision at times

Perform general office procedures

Conform to meet scheduling demands

Understand and implement proper money handling processes

Understand and follow oral and written instructions

Cooperate, accept, and utilize supervision from Executive Director

Must have the ability to recognize and problem solve

Handle potentially hazardous materials and specimens in a safe, efficient manner

Occasionally lift up to 50 pounds

Possess of valid Nebraska Driver’s license and ability to travel

Minimum Qualifications:

High school Diploma or GED. Must have or obtain Nebraska registration as a medication aid

Associates degree in related field preferred

3 or more years of clinical office experience preferred

1 year or more supervisory experience preferred
